| BOARD MEETING MATERIALS: |
Board members are encouraged to bring county issued laptops or tablets to the meeting so they can follow along electronically. For those who do not bring a county issued device, the WCRP will have electronic tablets available for use during the meeting. The Board meeting packet will be made available within the Governance section of the WCRP website, and Board members can expect to see more from WCRP Executive Director, Chuck Boyd, once the materials are ready for viewing. If you have trouble accessing the digital packet, please email MemberServices@wcrp.wa.gov. If paper is preferred, Board members should print and bring meeting packet materials of their choosing, as the meeting packet will not be available in printed format. |

Room Block at the Marcus Whitman Hotel Key Information: - Reservations should have been made by June 30 to guarantee the group rate. Rooms and rates are now subject to availability. - The group rate for rooms booked by the rooming cut-off is $180/night for Wednesday and Thursday evenings only. - If you need to make changes to your reservation, please contact the hotel directly (509) 525-2200, and press 1 for reservations. Accessibility: - At check-in, a $50 per night incidental hold will be placed. This hold will be released 5-7 days after check out. Most activities and events will be held indoors while the dinner Thursday evening will be a hybrid of indoor/outdoor, with the dress code being casual. Please pack attire that will fit this location knowing the time of year and weather to be expected, to include sunglasses, sunscreen, and shoes suitable for exploring the area in your free time. We recommend that you bring light jackets/sweaters and layer your clothing when attending sessions to help keep you comfortable in varying temperatures within the meeting spaces. | REIMBURSEMENTS: |
The WCRP will reimburse attendees in accordance with the Travel Policy and Travel Reimbursement Guide. All costs being submitted for reimbursement will need to be submitted within 60-days following the event and will require itemized accompanying receipts and printouts from an online mapping service for proof of mileage, along with a completed Travel & Expense Voucher. Please note details regarding the following reimbursements: Those traveling more than 50 miles one way, or those closer than 50 miles that are attending later afternoon/evening events followed by the next day’s morning sessions, are eligible for lodging reimbursement at the event hotel’s group rate. Room charges are to be paid for by the attendee or county. The WCRP will reimburse lodging up to two nights (Wednesday and Thursday) for the Director and Alternate Director, and one night (Wednesday) for committee members and the appointed Claims Administrator and Risk Manager. Incidentals, additional guests, and room enhancements are not eligible for reimbursement. Meals provided by the WCRP during the event are not eligible for meal cost reimbursement. Guests are welcome to accompany you to the welcome reception and meals provided by the WCRP, and fees will apply as follows: $15/person for receptions/breakfasts/lunches and $25/person for dinners. Please indicate if any guests and how many will be joining you during any of the WCRP provided reception/mealtimes at registration to ensure proper head count. It is preferred that payment be made after the event, either by check issued to the WCRP, or by deducting the cost from your reimbursement totals on your Travel & Expense Voucher.
